Team Assistant


We are looking for a Team Assistant to join us, to work with our management team. This role will suit a proactive, highly organised and capable individual who is happy to get involved and make the position their own.

  • Diary management of up to 12 senior leaders: planning and scheduling meetings, booking rooms, catering, coordinating attendees etc.
  • Work closely with the Travel Coordinator to ensure travel and accommodation bookings in accordance with the Publicis Groupe travel policy
  • Managing expenses – preparation and submission
  • Ability to handle sensitive and confidential information with complete discretion
  • Liaise with clients and business guests as appropriate to organise meetings
  • Involvement in ad hoc projects and additional duties as required 
  • Build and maintain close relationships with the EA community and concierge function to ensure strong collaboration both within Digitas and across the wider office support function
  • Assist with any new starter admin that is required
  • Receive and screen communications whilst using independent judgment to determine those that require priority attention
  • Ensuring deadlines are met for the team and assist with all meeting preparation as requested
  • Assist with distribution list maintenance and set ups
  • Being the point of contact for the leadership team and always representing them to a high standard


  • Previous experience as a Team Assistant or PA to senior executives, in a fast paced environment
  • Exceptional organisation skills, with the ability to prioritise using your own judgement
  • Ability to build strong working relationships with senior stakeholders, with effective and confident communication
  • Excellent workload prioritisation skills, with the ability to multi-task whilst maintaining high levels of attention to detail and meeting deadlines
  • Be interpersonal with the ability to work collaboratively, as well as independently
  • Talent in establishing and maintaining effective working relationships with vendors, clients and co-workers
  • Comfortable working with top-level executive management team and handling sensitive and confidential information with the highest degree of integrity
  • Highly organized and confident working independently on tight deadlines
  • Strong ability to think fast on your feet as well as an innate ability to proactively prepare for and predict issues before they arise
  • Proficient use of Outlook
  • Knowledge of Excel and PowerPoint
