Client Billing Assistant

Department Summary

The Finance team in Digitas works with the entire business to make sure that the Company’s financials are accounted for correctly, reported timely and controlled effectively.

The Finance team acts as the gatekeepers of financial controls and processes, financial compliance and reporting and financial forecasting and budgeting.

The Finance team is a high performing team where high expectations is the standard. It is a multi-cultural and diverse Finance team and fun team to work with.

Role Summary

The Client Billing Assistant is responsible for working closely with the project managers/client services teams to raise high volume and detailed invoices ensuring timely and accurate billing to the client in accordance to the contracts and client’s purchase orders.

They will work closely with the revenue accountants targeted with managing the accrued income and WIP, ensuring deadlines and monthly billing targets are met. On a daily basis the Client Billing Assistant will be required to generate all draft invoice request in their responsible portfolios against existing billable project codes, and maintain good records of all final sales invoices and credit notes processed within the book month.

The Client Billing Assistant also ensures that authorised expense items, appearing on billable project codes, are matched off against existing invoices billed on account, to keep accurate records as well as sending WIP reports on request to the client teams.

Following on from the audit of complete Sales order records, such as SOW and client purchase order documentation, there is also an opportunity to become more involved with the client contract audit process, ensure that full records have been provided by the legal team, and keeping an overview register updated with any new contracts.

Responsibilities

Client Invoicing.

  • Responsibility for accurate and prompt raising of sales invoices in line with the client contracts and purchase orders
  • Production of draft invoices for regular monthly retainer billings for media and managed services
  • Assist client-facing colleagues with invoicing status on projects and dealing with queries

Invoice Matching

  • Provide support to the revenue accountants, by reporting on billable expense items
  • Attend and support monthly meetings arranged by the revenue accountants to review the expense items, and to obtain confirmation of items to be matched off against existing invoices; and matching approved expense item, against account billing

Client contracts and purchase orders

  • Management an index of SOWs and other client documentation, purchase orders including reconciliations, client contra process, client contract retrieval and reference management to ensure security of client contracts.

Ad hoc projects

  • You will support any ad hoc projects in Finance to improve existing processes and to introduce new processes.

  • Confidence in extracting data from the finance system and creating analysis
  • Strong follow-through orientation

  • Good written and verbal communications skills
  • Basic Skill Level in Excel
  • Knowledge of basic accounting
