Project Manager


The Project Manager must be able to manage small to mid-sized multi-faceted projects/campaigns, with digital/data/CRM focus.

This individual is responsible for the creation of project plans based on information provided in the Creative Brief and/or Scope of Work. This role will own the creative workflow process inception to completion, including development and management of project schedules, managing resources and resource allocations for project deliverables, communications workflow, raising red flags as issues arise and ensuring adherence to the approval process.

What you’ll do:

Project Management

  • Creates and executes project work plans and revise as appropriate to meet changing needs and requirements
  • Identify resource needs and assign individual responsibilities
  • Manages day-to-day operational aspects of project and scope
  • Supports the Project Director in day-to-day processes
  • Review deliverables prepared by the team before passing it to client
  • Prepares for engagement reviews and quality assurance procedures
  • Ensure project documents are complete, current and stored appropriately
  • Be the communications hub between all inter-agency team members assigned to the account/project
  • Report to Project Director, who keeps line of sight for all agency accounts
  • Ensure that agreed-upon agency workflow is followed

Resource Management

  • Work with Account Management to create estimates and Scope of Work (SOW)
  • Work with Creative Services to allocate and assemble the project team by coordinating with department leads
  • Schedule and lead project kick-off meetings
  • Ensure team members are given clear assignments and properly briefed
  • Develop, maintain and enforce project schedules and weekly team status meetings
  • Initiate and conduct formal team meetings for internal reviews to secure creative approvals and creative lock prior to production
  • Work closely with the team to determine and understand daily project status and set priorities
  • Work closely with Creative teams to determine specifics for creative development on projects and facilitate creative workflow
  • Facilitate and gather creative assets for client presentations/reviews

Communication Workflow and Process Adherence

  • Collaborate with Account Management to compile and consolidate client feedback and determine project implications to scope and resources
  • Manage change requests initiated by the Account Management team to ensure delivery and completion
  • Manage and understand project tasks and dependencies well enough to identify potential risks/red flags
  • Develop detailed tracking methods and track team progress against projects
  • Prepare for and lead internal post-mortem team meetings and record findings
  • Keep detailed records of project lifecycle and share information as necessary
  • Provide regular status updates to the Project team

Knowledge you’ll need:

  • Bachelor’s degree
  • 1 – 3 year(s) of experience – ideally in a digital advertising agency
  • Clear understanding of digital production
  • Understanding of technology platform a plus – HTML / JS / Adobe Marketing Suite / Sitecore / Drupal
  • Extremely detail-oriented and organized
  • Good writing and communication skills
  • Remains calm under pressure
  • Process oriented
  • Ability to multitask
  • Naturally collaborative
  • Proficient in MS Office Applications, Google Docs and Project Management processes
  • A working knowledge of MS Project / Basecamp / Trello / Jira or other process flow tools
